Required documents and conditions

On the Germany Consular Services Portal (digital.diplo.de) Studies route (university studies, National D), the portal submission is mandatory for study applications in Japan. The official warning states that "incorrectly uploaded documents or incomplete applications will extend processing times".

The embassy visit after pre-checking (original presentation, face photo, fingerprints, fee) and bringing the printed application photo are separate steps: document upload ≠ photo upload. The tool only prepares the admission letter PDF; uploading to the portal and the visit remain the applicant's own actions.

What to check before you submit

Page counts, colours, and merge policies are not stated by the official source. Confirm the current conditions in the official portal before submission.

Using the web tool

  • Keep the application guidance available and check the confirmed file conditions.
  • The tool prepares the file on your device; it does not submit it for you.
  • After preparation, confirm the accepted format and conditions in the application portal before submitting.

Create your document PDF in the browser

Prepare the document PDF for Germany Study Visa (Consular Services Portal) directly in your smartphone or computer browser. Creating and reviewing are free.

Frequently asked questions

What are the portal size cap and accepted formats?

The portal per-file cap is at most 10MB (the basis for this figure is not specified in the published guidance). The portal accepts PDF / JPG / PNG, and multi-page documents are officially required to be PDF.

Where is the original presented?

The Japan study page requires the "original and one copy". The portal upload is the copy; the original is presented at the embassy visit after pre-checking (a separate step).

Do I also upload an application photo?

No. The application photo is not part of the portal upload and is brought in printed form at the visit (a separate step). Document upload ≠ photo upload.
